Summary:
This position serves as a first point of contact for the School of Dental Medicine clinics, departments, and units as a knowledgeable individual in understanding each clinic's operations and expertise, its workforce, and the SDM patient population.
This position will also be responsible for supporting the School of Dental Medicine in a variety of assigned office administrative tasks (i.
e.
addressing patient follow-up and inquiries, records management, data entry, etc.
) and various requests made by SDM department/clinic administrators, central administrative leadership, and immediate supervisor.
This position is responsible for supporting the SDM clinic operations and serving as a knowledgeable individual in helping the SDM workforce community and patient population in navigating locations and people.
Key
Responsibilities:
Phone Operator Representative (90%) Serves as a point of contact/liaison for patients and community constituents that contact the school via phone, email or other means of contact.
Greets, checks in, and acts as a receptionist for patients of SDM visitors.
Provides back-up support to the Information Desk and serves as in-person contact for those that enter and leave the School of Dental Medicine, when needed.
Fields phone and patient-facing inquiries to appropriate clinics, units, and departments (i.
e.
pages staff, students, faculty or residents and documents messages) using telecom and computer business applications (i.
e.
, Axium, office 365, TEAMs, zoom).
Supports SDM clinic patient follow-ups and completes patient intake questionnaires.
Exercise professionalism, respect, and confidentiality when responding to inquiries.
SDM Administrative Support (10%) Completes various administrative responsibilities (i.
e.
meeting minutes and committee notes, data-entry, spreadsheet creation, presentation drafting/editing, electronic filing organization) as needed and assigned by SDM clinic, department, and administrative leadership.
Maintains organization and retrieval of paper files and office storage including storage, purging, etc.
Provide administrative support to SDM units and departments with patient follow-up and outreach (i.
e.
, patient(s) returned mail, patient missed calls and messages, clinic patient outreach needs).

Two (2) years of general clerical or administrative assistance.

Special Necessary Qualification:
Bilingual (Spanish).

Condition of Employment:
Must be willing and able to effectively communicate and translate information for Spanish-speaking patients and visitors on the first-floor reception/information desk.
This role should be able to understand Spanish-speaking patient needs and provide clear information and direction to these patients in Spanish.

Ability to manage multiple tasks and work independently with minimal supervision.
Detail oriented, self-motivated, a fast learner and possess excellent time management, organizational, written and verbal communication skills.
Ability to take direction and use independent judgment to coordinate various tasks and meet deadlines.
Ability to handle sensitive matters that require discretion and confidentiality.

Anticipated Pay Range:
The starting hiring range for this position has been established as $3,160 - $3,666 per month ($37,924 - 43,992) per yearThe above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
This position is eligible for overtime compensation.
