HR Administrative Coordinator

This position acts as the first point of contact for County employees and the public as the Department receptionist by greeting visitors and answering department phones. Assists the HR Department in carrying out various programs and procedures for all County business including clerical and administrative tasks as assigned.
Our anticipated hiring range is: $1,495.00 - $1,772.00 Biweekly ($38,872.00- $46,073.00 Annually)
Duties:

Administrative
Supports the HR Department with all clerical and administrative needs including but not limited to preparing presentations, scheduling meetings, ordering office supplies, maintaining employee files, travel arrangements for HR staff, and triage of internal and external inquires/notices to appropriate HR staff. Might serve as back up resource for onboarding, NEO Gov postings, SAP Processing, and EVerify.
Ensures that expenses and budget are processed and appropriately updated in system. This includes PCard, invoice and P.O. reconciliation.
Learning and Development Support
Assists with employee training program including scheduling of training events, ordering the catering for events, venue coordination, ordering and tracking receipt of training materials, contract management, insuring employees are kept abreast of training requirements.
Ensures that all of employee records with training attendance as well as pre- and post-test scoring are updated in the Learning Management System (LMS) and assists with pulling reporting from the LMS to support results conversations.
Monitors training delivery and results and recommends changes.
Safety
Serves as primary resource for COOP Administration and Department Safety Training & Meetings. Is primary contact and may provide back up for Emergency Response Team (ERT) and Executive Safety Committee (ESC). Participates in training and ensures HR Staff is briefed/prepared to react appropriately during an emergency.
Performs other duties as assigned.
Requirements:
EDUCATION:
Minimum: High school Diploma/ GED
Preferred: Associates degree in business, computer science or a related field highly desirable.
EXPERIENCE:
At least two years of executive and/or department administrative support.
(An equivalent combination of education and work experience that satisfy the requirements of the job may be sufficient.)
Technical Competencies :
Medium to high level of proficiency with MS Office Suite including Word, Excel, and PowerPoint.
Knowledge of Visio software desirable.
Excellent written and verbal communication skills.
Effective management of priorities and projects in a fast paced environment.
Ability to manage information in a confidential and professional manner.

Works under the broad direction of the Learning and Development Consultant. Work assignments are in the form of areas of responsibility and are only generally defined.

Contacts are with superiors, peers, employees, elected officials, citizens and/or vendors. Contacts require the ability to exercise a high degree of interpersonal skills to influence persons at all levels. Incumbent is accountable for the results of the contact.

WORK ENVIRONMENT :
Work is generally confined to a standard office environment in a front desk area exposed to Human Resources entrance.
This position is not exposed to unusual working conditions; occasional travel outside the office, usually to County locations.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
